Planning, Not Performance: Expert Breaks Down What Makes Events Work

Logistics and event professional Jakob Nwachukwu-Onuotu has underscored the importance of transportation planning, vendor coordination, and technical execution in determining the success of large-scale events.

Speaking on Trade FM’s TRADE FM’ BREAKFAST BUSINESS BRIEFING on the topic “Behind the Scenes of Big Events: The Logistics That Make or Break Success,” he explained that mobility planning goes beyond transportation, covering guest coordination, access control, security management, and overall event flow.

He noted that effective coordination plays a critical role in managing guest arrivals, scheduling, and internal movement within venues, helping to ensure a seamless event experience.

Nwachukwu-Onuotu also pointed to vendor delays and technical failures as major operational risks in event delivery, stressing the need for contingency measures such as backup systems and alternative arrangements, adding that logistics remains the backbone of successful events. He however warned that poor planning can derail even well-funded productions. According to him, key technical components such as staging, lighting, sound, and VIP arrangements also account for some of the most complex and costly aspects of event execution.

In his final remarks he stressed that early preparation, strong coordination, and structured planning are essential for minimizing disruptions and ensuring successful delivery of large-scale events.
